ABOUT REPAIR CAFE WALES

‘A society empowered to work together to reduce waste, share skills, and strengthen our communities’

Repair Cafe Wales is a national charity that opens and supports repair cafes across Wales. In their simplest form, repair cafés are pop-up events where the local community can get their broken household items repaired for free by volunteers. That could be anything from a toaster, to a pair of jeans, to a bicycle. As well as saving things from landfill, repair cafes help save people money, reduce loneliness and isolation, and teach people skills.

We currently support a network of over 140 repair cafes but we are not stopping there! Our mission is to create a sustainable, resilient, and empowered community, where the simple act of repairing can lead to meaningful change. RCW want to see a repair cafe opened in every community across Wales.

OUR VISION

Our strategy sets out four key goals we are focused on:

1. Network growth and support: RCW want to continue to open repair cafes across Wales whilst ensuring continued high-quality support for the existing network. By increasing the number of repair cafes, RCW can ensure that more communities across Wales have the resources to fix instead of throw away.

2. Youth engagement: Engaging young people in the repair cafe movement inspires a lifelong commitment to sustainability and problem-solving. RCW aim to work more closely with schools, youth organisations and higher education providers.

3. Behaviour change: RCW want to see awareness and usage of repair cafes grow across Wales so that it becomes a default choice for broken items and a normalised behaviour.

4. Right to repair: the charity’s mission champions the right to repair, a global movement to make sure everyone has the right to fix the products they own. RCW want to see products that are easy and affordable to repair, better access to spare parts, and increased consumer rights.

ABOUT THE ROLE

The Admin Assistant will be responsible for the day-to-day administrative functions that keep the network running smoothly, including maintaining accurate records across CRM systems, mailing lists, and spreadsheets, as well as keeping website listings and repair café records up to date. They will facilitate effective communication within the network by preparing meeting agendas and minutes, managing enquiries promptly, and supporting the reporting of network activity and its impact.

We are currently a small team that is very supportive of flexible working, with a focus on delivering outcomes. This is a fixed-term contract, with the potential to extend if we are successful in obtaining further funding. This role is home-based but occasional travel to repair cafes across Wales may be expected.

KEY RESPONSIBILITIES

• Build and maintain positive relationships with repair café organisers and volunteers
• Write minutes and agendas for network meetings
• Maintain accurate records of network members, training attendance, and engagement
• Update internal systems such as CRM databases, mailing lists, and spreadsheets
• Update event listings and repair café records on our website
• Support reporting on network activity and impact
• Provide general administrative support for network activities
• Support with managing enquiries and respond in a timely, helpful manner
• Contribute to improving the overall support offer
• Any other duties commensurate with the grade and level of responsibility of this post

SKILLS AND EXPERIENCE REQUIRED

Previous experience

• Experience in an administrative or coordination role
• Experience working with community groups/ volunteers would be desirable
• Familiarity with CRM systems or mailing tools (we use Mailchimp and Capsule)

Competencies

• Competent in MS Office – particularly Word, Excel and Outlook
• A genuine commitment to the values and ethos of Repair Cafe Wales
• Ability to work collaboratively with a wide range of community groups and volunteers
• Attention to detail and good record-keeping skills
• Exceptional communication skills, both written and verbal
• A flexible approach to dealing with tasks, with the ability to manage multiple priorities in a busy environment

Technical skills

• Welsh language skills are desirable

Repair cafés are a fun, social way to combat the general frustration with wasted materials, resources and a loss of skills. It’s a community, a space for empowerment and the site of transformation where people’s relationships with their household items shift from consumer to owner.

All employees, contractors and volunteers are required to operate in line with RCW’s core values:

• Waste Reduction – Repair cafés help household items be used for longer rather than throwing them away. This reduces the volume of raw materials and energy needed to make new products. It cuts CO2 emissions by reusing instead of manufacturing new products.
• Sharing Skills – By promoting a repairing culture and inviting each one of our visitors to sit with a volunteer repairer, repair cafés show appreciation for the people who have practical knowledge and ensure these valuable skills are getting passed on.
• Community Cohesion – Repair cafés promote social cohesion in the community by connecting local residents from very different backgrounds and with different motives with each other through an inspiring and low-key event.
