Freelance opportunity: Fixfest 2023 Event coordinator

We’re looking for a freelance event coordinator to help us in the organising of Fixfest 2023, taking place in Cardiff on 30th September 2023
Fixfest is a global gathering of up to 150 repairers and tinkerers, activists, policy-makers, thinkers, and repair businesses from all over the world. This year’s edition is being organised by The Restart Project in close collaboration Repair Café Wales and the UK Community Repair Network.
The ideal candidate for this position will be either Cardiff-based or with excellent knowledge and understanding of Cardiff, and able to travel there for logistical meetings as well as for the event itself.
About Repair Cafe Wales
Repair Cafe Wales is a not-for-profit Community Interest Company that opens and supports repair cafes across Wales. In their simplest form, repair cafés are pop up events where the local community can get their broken household items repaired for free by volunteers. Repair cafés are started by residents, with our support, and run by the local community.
We work for our communities to influence standards for goods and government policy, collect data from our community hubs, and help to inform policy decisions that promote a greener, more sustainable world.
What you will be doing:
– Coordinate bookings
– Find and coordinate affordable accommodation options near the main venue (Cardiff University Business School)
– Lead on all logistical aspects at the locations chosen for the event
– Liaise with caterers to negotiate and confirm options
– Support confirmed participants with logistical questions
– Respond to queries from members of the public intending to participate
– Communicate with speakers and other guests with updates
– Help finalize the event programme and publish it on the website, consolidate session proposals
– Create a plan for volunteer involvement
– Induct volunteers at the beginning of the event and act as a point of contact for volunteers throughout
– Liaise with existing designer and local printer for any printed materials
– Undertake other duties commensurate with the post, as agreed by line manager, and willing to take on responsibility where necessary
Who we are looking for:
Our team needs a motivated, self-starter who can pay attention to detail but can also see the big picture. You’ll need to be able to work with us mostly online, but with the ability of visiting locations to solve problems quickly in the lead up to the event, and you’ll be available in person throughout the duration of Fixfest to help manage the event. And we’ll need you to have solid writing skills.
Other essentials:
– Planning or managing a similar or larger event
– Excellent communication skills and documenting of progress using digital productivity tools
Hours and rate:
The event coordinator will be managed by Repair Cafe Wales with support from The Restart Project.
For this position we foresee up to 25 days of work between 1st August and the end of the event (October 1st). The scheduling of this work can be flexible – with regular catch-ups with the team.
However, we would expect increased hours nearer to the event with at least 10 of the contracted days worked between 18th September and 1st October. You must be available between 29-1st October.
We are offering a day rate of £187.50 (£25 per hour for 7.5 hrs a day)
